Trello vs. Asana – Which planning system is BEST?
When I first started digital planning, I had one big question:
Trello or Asana?
I’ve used both in the past, and hadn’t been totally satisfied with either. But it had been a few years. This time around, I knew wanted something that would help me organize everything – home, work, meals, travel, gift lists – in one place. But I didn’t want to spend hours learning a new tool that might not even fit the way my brain works.
So I tested both, again.
Extensively. 😅
And I found really incredible strengths in both of them – each is designed to work well with a certain kind of brain, I think. So, knowing all the different types of women in our community, I created the S.O.S. Digital Planning System for BOTH of them!
Today I’m breaking down what I’ve learned about each one, to help you decide what might work best for YOU! (And I’ll share my favorite at the end!)
First up: Trello | Simple + Visual
If you’re a visual thinker and love the feeling of dragging sticky notes around, Trello might be your new best friend. It’s beautiful (love the ability to add your own backgrounds!!), and really easy to navigate.
What I love:
- Easy drag-and-drop layout, simple to move things around
- Beautiful appearance, easy to make really pretty!
- Just feels like a digital bulletin board
What to know:
- Not as structured for recurring tasks or calendar views
- Can get messy if you don’t set up clear systems (which I’ve already done for you 😉)
- Difficult to see everything all at once, which is something I really wanted
Conclusion: Trello is great for anyone who is visually motivated and wants to view just one project at a time!
Next up: Asana | Structured + Powerful
If you’re a list maker and love being able to see everything you’re managing all at once, Asana might be your fave. It’s strength is in it’s integration, and ability to compile all of your to-do lists into one daily plan.
What I love:
- Built-in recurring tasks (goodbye re-writing to-do lists!) + calendar views
- Superior integration, meaning I can see ALL of my tasks from every area of my life, organized into one automated plan for my day
- A visually simple interface, so I don’t get overstimulated/distracted
What to know:
- Slightly steeper learning curve at first
- It’s very simple – you can color code, but it’s just plain not as pretty as Trello
- More “business-y” feel than Trello – but still fully adaptable for home and life
Conclusion: Asana is great for anyone who is list motivated and wants to view everything all at the same time!
If you’re wondering which one is my personal favorite…
It’s Asana, hands down! Here’s why:
- I love the simple list view that keeps everything clean and focused.
- The ability to set repeating tasks has been a total game-changer (no more re-writing weekly routines or reminders!).
- I especially rely on the Home and My Tasks tabs, which give me an instant snapshot of what’s coming up across every area of my life – work, home, family, even meals.
And Asana’s integrations mean I can keep all my planning in one place without jumping between tools or apps.Everything lives in one place, and I can access it from anywhere. They’ve made a lot of updates since the last time I used it, and I am completely obsessed now.
It’s structured without being complicated, flexible without being overwhelming – and honestly, paired with our S.O.S. planning strategies, it’s the most sustainable system I’ve ever used!!
So… Which Should You Use?
Honestly? It depends on your planning personality.
If you are visually motivated (if your planner needs to be PRETTY for you to use it!), and you want to keep each area of your life in it’s own space, Trello will feel like a dream.
If you are more list motivated (you like to see everything organized in order), and you want to view all of your upcoming to-do’s at once, Asana might be your new bestie.
