How I’m using Asana to plan my days
Listen, you guys know I am a pen and paper girl through and through.
But I’m here to tell you – Asana is seriously changing the planning game for me! I’m absolutely LOVING how I’m using it (with our SOS Digital Planning System), and today I’m going to take you through exactly how I’ve set it up.
If you’ve ever wondered if digital planning is for you – you’ll love today’s behind-the-scenes post!!
My Main Boards:
I have Asana set up to manage both my work life AND my home life, and am so happy because it integrates it all. The best part? It creates a to-do list for me each day based on what actually needs to be done that day.
Yes. It is that amazing.
Here’s a peek at the boards I use on a daily basis:

My Workspace // This is my personal to-do list for work! I have this list organized into things I do daily, weekly, monthly, and quarterly – plus a space for one-off tasks. The BEST part about those regular things that I need to get done? Asana has a repeating tasks feature, so I can just set them up with the frequency they need to get done, and they pop up when I need to do them. MAGIC, I TELL YOU!
Home Projects // Here, I’ve organized all of our Home Projects by area of the house. Each week I’m going through here, assigning a few to myself, and adding a due date for the week – this way they show up on the day I’m planning to get them done!
Routines // I LOOOOOVE this one. It’s kinda set up like my Workspace board, but for personal routines. Here’s where I’ve planned out my morning + evening routines, along with some other health related habits I want to incorporate into my life on a regular basis.
How they all work together:
These boards all come together when I look at what Asana calls “My Tasks”! I have this board divided into sections:
- Today – Asana automatically pulls all of my tasks into this list that need to be done TODAY. They stay there till I check them off!
- This Week’s Priorities – This list is designed to hold my master list for the week. Each task here gets pulled into the TODAY list when its due date arrives!
- Next Week’s Priorities – This list I organize myself based on what’s coming up in the next week.
- Coming Soon – And most everything else goes here – stuff I need to keep my eye on, but that’s not important quite yet.
I can easily move tasks between the sections, and with specific rules set up, a lot of that happens automatically! Then, each day I organize my TODAY section in the order that I need to get it done.
All those routines? They auto populate at exactly the right time, and show up on the day I have to do them. (Bible study, for example, shows up each day!)
Other Boards I’m Loving:
Reading Hub // The PERFECT place to organize my TBR lists!! I’m loving the setup here, and keeping all of those great summer book recommendations in a central place (instead of just buying them on Amazon when I hear about them). This is saving me lots of buyers remorse, let me tell you!
Cleaning Schedule // I’m working on getting our full yearly cleaning plan uploaded into this board, where I have our cleaning tasks organized by day, week, month, quarter, half-year, and year! This way, everything that needs to be done at a specific time will show up at that specific time – year after year!!
Summer Meals // I’m creating our summer meal plan on this board, and SO thrilled because once I do, I’ll be able to use it again and again in the future!!!
Honestly, there are quite a few more boards I’m still settling into – and loving as I do. The sheer fact that everything is INTEGRATED has been such a game changer for me.
I didn’t need a better to-do list, I needed a repeatable system that would help me plan ahead and stay focused without reinventing the wheel every week. And this is IT!!
The best part? Once I check something off, it resets automatically for next week. No re-writing. No wondering what I’m missing.
See? Game. Changer.
If you have been dreaming of a repeatable system like this, one that actually works and doesn’t depend on your memory or motivation, I built the S.O.S. Digital Planning System for you!!
It includes my full setup for Asana and Trello (you choose!), plus done-for-you boards and step-by-step tutorials to get you started fast.
I can’t wait to show you more at tomorrow’s Digital Planning Party! I’m going to walk you through EVERY board I’ve created, and answer all your questions.
RSVP below to snag your spot at the party, and you’ll be entered to win a Digital Planning System for FREE!! I can’t wait to see you there!
